Booking Terms & House Rules

These interim terms apply to accommodation booked directly with Academy Hotel Kemijärvi. The accommodation provider and contracting party is Kemijärvi Insider Oy (Business ID 3522178-6, VAT ID FI35221786), Korkalonkatu 36 L 1, 96200 Rovaniemi, Finland. The hotel is at Seminaarinkatu 9, 98120 Kemijärvi.

1. Booking and confirmation

The person making the booking must be at least 18 years old and must provide accurate guest, contact and stay details. A booking becomes confirmed when the booking system has accepted it and a confirmation has been issued. Availability, room capacity, minimum-stay rules and prices are checked live by Nitesoft for the dates and party entered.

Check the confirmation immediately and contact us without delay if any detail is wrong. The confirmed room type, dates, guest count, included services and total price define the accommodation we will provide.

2. Prices and payment

Prices are shown in euros and include applicable VAT. The complete hotel total is shown before payment. Payment is completed through the payment method offered by the live Nitesoft checkout. We do not receive your full payment-card number.

Optional activities are supplied under the activity details and supplier terms shown during booking. An activity may require separate supplier confirmation and payment even when it is selected alongside the hotel stay.

3. Changes and cancellations

The rate-specific cancellation terms shown in the live review before payment and repeated in the confirmation govern changes, cancellation, no-show and refunds for that rate. Contact us at info@academyhotel.com as soon as possible if plans change.

The general 14-day statutory cancellation right does not apply to accommodation booked for specific dates. Mandatory consumer rights remain unaffected. Finland's Competition and Consumer Authority explains the general rules for accommodation services.

4. Arrival and departure

• Check-in starts at 16:00 and check-out is by 11:00.
• Early check-in from 14:00 and late check-out until 13:00 each have a standard price of 20 € and remain subject to availability. When either service is explicitly included as a direct-booking benefit in the booking review or confirmation, no separate fee applies.
• Arrival and self check-in instructions are sent to the email address given in the booking. The guest is responsible for keeping access codes and keys secure.

5. House rules

• The quiet period is 22:00–07:00. Parties are not permitted.
• Only registered guests may stay in or use the booked accommodation.
• Smoking is prohibited indoors. A 500 € cleaning charge applies if smoking has taken place in the accommodation.
• Pets are accepted only by advance agreement in designated rooms 101 and 102. The pet fee is 25 €. An undeclared pet incurs a 200 € additional cleaning charge, plus the cost of any damage caused.
• The booker is responsible for damage caused by their party. Damage is charged according to the case and actual repair or replacement need. A lost key requiring a lock change is charged at 300 €.

6. Problems, complaints and contact

Tell us promptly during the stay if the accommodation does not match the confirmation or a service is not working, so we have a reasonable opportunity to investigate and correct it. For booking questions, changes or complaints, email info@academyhotel.com or call +358 50 377 6138.

7. Privacy and applicable terms

We process booking and guest information as described in our Privacy Policy. These interim terms are governed by Finnish law without limiting mandatory consumer protection available to the guest.
